This policy explains how Ideotronix collects, uses and protects personal information when you shop with us, take our courses, join the distributor program or work with us as a school. It applies to ideotronix.com and our related programs.

Our Commitment

  • We collect only what we need to run the Services and support learners.
  • We never sell your personal information.
  • We take extra care with information about children.
  • You can access, correct or delete your information by contacting us.

1. Who We Are

Ideotronix is operated by Ideation Axis Group, Old Ashongman, Greater Accra Region, Ghana. We are the data controller for personal information collected through ideotronix.com and our programs. We process personal data in line with Ghana's Data Protection Act, 2012 (Act 843) and other applicable law.

2. Information We Collect

Information you give us

  • Account: first and last name, email address and password (stored in hashed form).
  • Orders: full name, email, phone number, school or institution, order notes, any distributor code used, and delivery details we arrange with you.
  • Learning: courses enrolled in, lesson progress, achievements, certificates, wishlist and subscription status.
  • Enquiries: details you send through our contact, school consultation, partnership or franchise forms, such as name, email, phone, school and message.
  • Distributor applications: full name, email, WhatsApp number, location, institution, referral code, experience and motivation, and your communication preferences.

Payment information

Payments are processed by Paystack. We receive a transaction reference, amount, status and limited payment metadata. We never receive or store your full card number, CVV or mobile money PIN.

Information collected automatically

  • Technical data such as IP address, browser and device type, and pages requested, recorded in server and security logs.
  • Data stored on your device to make the site work (see Cookies and local storage).

Photos and videos from programs

We photograph and film some workshops, school programs and events. Images that identify children are published only with the consent of the school, parent or guardian.

3. How We Use Your Information

  • To create and manage your account and give you access to courses and subscriptions.
  • To process orders and payments, arrange delivery, and handle returns and refunds.
  • To track learning progress, award achievements and issue certificates.
  • To respond to enquiries and arrange school consultations, programs and quotes.
  • To review distributor applications, attribute sales to distributor codes and pay commission.
  • To send service messages such as receipts, access details and important changes.
  • To send updates and offers, but only if you have opted in. You can opt out at any time.
  • To keep the Services secure, prevent fraud and meet legal, tax and accounting obligations.
  • To improve our courses, products and website.

We rely on the following legal bases: performing our contract with you, your consent (for example, marketing and photos of children), legal obligations, and our legitimate interests in running and improving a safe service.

4. Children's Privacy

Our courses and kits are designed for young learners. Accounts must be created by an adult: a parent, guardian, teacher or school. We collect only the information needed to provide the learning experience. We do not use children's data for advertising or profiling.

Parents and guardians can ask to review, correct or delete their child's information at any time by emailing [email protected]. If we learn that we have collected information from a child without appropriate consent, we will delete it.

5. How We Share Information

We do not sell your personal information.

We share information only when needed:

  • Service providers who work on our behalf under confidentiality obligations, including Paystack (payments), cloud hosting and file storage, content delivery and security (such as Cloudflare), email providers, and delivery partners.
  • Distributors: when you use a distributor code, we record that the order was made with that code so commission can be calculated.
  • Your school or institution, where you take part in a program it has arranged, for example progress reports for its learners.
  • Ideation Axis Group companies that help operate Ideotronix.
  • Authorities, when required by law or to protect the rights, safety and property of our users, the public or Ideotronix.
  • A buyer or successor if our business is reorganised, merged or sold. You will be notified.

6. International Transfers

Some of our service providers store or process data outside Ghana. For example, uploaded files are hosted on cloud servers in the European Union. When data leaves Ghana, we use providers with appropriate safeguards and protect it as this policy describes.

7. Data Security

We use reasonable technical and organisational measures to protect personal information. These include encryption in transit (HTTPS), hashed passwords, access controls that limit who can see personal data, and regular backups.

No system is completely secure. Please use a strong, unique password and tell us straight away if you suspect unauthorised access to your account.

8. How Long We Keep Information

We keep personal information only as long as necessary for the purposes above, or as the law requires:

9. Your Rights

Subject to the law, you can ask us to:

  • give you a copy of the personal information we hold about you;
  • correct inaccurate or incomplete information;
  • delete your information, unless we must keep it, for example for tax records;
  • stop or restrict certain processing, including direct marketing;
  • withdraw consent you have given, without affecting earlier processing.

Email [email protected]. We may need to verify your identity, and we aim to respond within 30 days. If you are unhappy with our response, you can complain to the Data Protection Commission of Ghana.

10. Cookies and Local Storage

We use a small number of essential technologies to make the site work:

  • Sign-in and session cookies that keep you logged in and protect your account.
  • Browser local storage that remembers your shopping cart on your device.
  • Security and performance cookies set by our content delivery network to protect the site from abuse.

We do not currently use third-party advertising cookies. If we introduce analytics or marketing tools, we will update this policy first. You can clear or block cookies in your browser settings, but parts of the site, such as sign-in and the cart, may then stop working.

11. Changes to This Policy

We may update this policy as our Services or the law change. The "Last updated" date shows when it last changed. We will tell you about significant changes by email or a notice on the website. Please also read our Terms of Use.
